Terms of Service

Acceptance

  • By creating an account or using CloseNote, you agree to these Terms of Service and our Privacy Policy.
  • If you do not agree, do not use CloseNote.

What CloseNote provides

  • CloseNote records calls via your browser microphone and/or tab audio, transcribes them using AI (Groq), generates structured sales notes (OpenAI), and allows you to push those notes to Salesforce.
  • The service is provided as-is during beta. Features may change, be added, or removed.

Your responsibilities

  • You must comply with all applicable laws regarding call recording in your jurisdiction.
  • You must obtain consent from all parties before recording any call.
  • You are responsible for the accuracy of notes pushed to your CRM.
  • You must keep your account credentials secure.
  • You may not use CloseNote for any illegal purpose or to attempt to compromise the service.

Data and privacy

  • Audio is deleted once transcription completes (success or failure). We do not retain raw call audio.
  • Transcripts, AI note fields, and Salesforce tokens are encrypted at rest.
  • Contact name, company, and phone number are stored for display and CRM matching.
  • We do not sell your data. See our Privacy Policy and Security page for full details.

Salesforce integration

  • Connecting Salesforce is optional. You authorize CloseNote to access your Salesforce org via OAuth for the purpose of searching contacts/leads and creating call tasks you request.
  • You can disconnect Salesforce at any time from Settings.
  • CloseNote is not affiliated with or endorsed by Salesforce.

Limitations of liability

  • CloseNote is not liable for inaccuracies in AI-generated transcripts or notes.
  • CloseNote is not liable for any legal consequences resulting from your use of call recording features.
  • CloseNote is not responsible for data loss due to circumstances outside our reasonable control.
  • In no event shall CloseNote's liability exceed the amount you paid in the prior 3 months.

Termination

  • You may delete your account at any time from Settings. Deletion is permanent and immediate.
  • We reserve the right to suspend accounts that violate these terms.
  • Upon account deletion, your data (calls, notes, tokens, feedback) is removed from our systems.

Changes to terms

  • We may update these terms. We will notify you by email if material changes are made.
  • Continued use after notification constitutes acceptance of the new terms.
